    We are seeking a proactive and detail-oriented Operations Staff for our Machinery Division in the Philippines. This role involves providing operational and administrative support to ensure smooth coordination between clients, suppliers, and the Japan Head Office. The position also includes assisting in sales activities, preparing quotations, monitoring payments, and maintaining strong relationships with both local and Japanese manufacturing clients. <Responsibilities> ● Handle order processing from clients and the Japan Head Office, including quotation preparation, purchase orders (PO), and delivery coordination. ● Prepare and issue invoices, receipts, and other related billing documents. ● Coordinate with suppliers, logistics providers, and internal departments to ensure smooth delivery and payment processing. ● Monitor and follow up on customer payment due dates. ● Support accounting tasks such as payment tracking and expense monitoring when needed. ● Maintain proper filing and documentation of all business transactions. ● Provide general office administrative support (scheduling, supplies management, correspondence, etc.). ● Communicate effectively in English with internal and external stakeholders. ● Perform other related duties as assigned by management.

Qualifications

  • Requirement

    <MUST> ● Bachelor’s degree in Business Administration, Marketing, or any related field. ● At least 1–3 years of relevant office or administrative experience is an advantage.(Newly graduates are also welcome) ● Hands-on experience in order processing, quotation preparation, and billing procedures. ● Proficient in MS Office applications (Excel, Word, Outlook) <BETTER> ● Experience in a trading or manufacturing company. <SOFT SKILLS> ● Strong attention to detail, with excellent organizational and time management skills. ● Excellent written and verbal communication skills. ● Ability to multitask, prioritize tasks effectively, and work with minimal supervision. ● Possesses a strong sense of responsibility, initiative, and teamwork.
